How to use the time card calculator

  1. For each day you worked, enter the in time, the out time and any unpaid break in minutes. Leave both times blank for days off.
  2. Shifts that end after midnight are fine: an out time earlier than the in time counts as the next morning.
  3. Enter your hourly rate, or leave it blank to total the hours only.
  4. Check overtime after (40 hours a week by default) and the overtime rate (1.5 times pay by default).
  5. Read the total pay, the hours split into regular and overtime, and the day-by-day table.

How the time card is calculated

Hours each day = (out − in) − unpaid break (+ 24 h if out is earlier than in) Total hours = sum of all days Regular hours = the smaller of total hours and the overtime threshold Overtime hours = total hours − regular hours Gross pay = regular hours × rate + overtime hours × rate × overtime multiplier

The defaults follow the U.S. Fair Labor Standards Act. According to the Department of Labor, covered nonexempt employees must be paid at least one and one-half times their regular rate for hours over 40 in a workweek. The law looks at each workweek on its own, so hours can't be averaged across two weeks. Change the threshold or the multiplier if your contract, union agreement or country uses a different rule.

Worked example

The calculator opens with Monday to Friday, 8:30 AM to 5:30 PM, a 30-minute unpaid break each day, a rate of $20 an hour, and overtime after 40 hours at 1.5×:

  • Each day: 8:30 AM to 5:30 PM is 9 hours; minus the 30-minute break, 8.5 hours.
  • Week: 8.5 × 5 = 42.50 hours.
  • Regular hours: 40.00. Overtime hours: 42.50 − 40 = 2.50.
  • Regular pay: 40 × $20 = $800.00.
  • Overtime pay: 2.5 × ($20 × 1.5) = 2.5 × $30 = $75.00.
  • Total pay: $800 + $75 = $875.00 before tax.

Add a Saturday shift from 9:00 AM to 1:00 PM and the week becomes 46.5 hours. The extra 4 hours are all overtime, so the pay rises to $800 + 6.5 × $30 = $995.00.

Overtime rules to check

Rule What it means
Weekly overtime (FLSA) Hours over 40 in a fixed 7-day workweek at 1.5× or more
Daily overtime Some states and contracts also pay overtime for long days, regardless of the weekly total
Double time Some agreements pay 2× for very long days or for certain days; set the multiplier to 2
Exempt employees Many salaried managers and professionals don't get overtime at all

The calculator applies the weekly rule only. If your state has its own overtime law, the rule that pays the worker more generally applies, so check your state labor department's website. The regular rate under federal law can also include some bonuses and shift premiums, which this simple time card doesn't add.

Tips for accurate time cards

  • Record times as they happen. Filling in a week from memory on Friday is where most errors start.
  • Enter only unpaid breaks. Short paid rest breaks are working time.
  • Write down overnight shifts on the day they started, as the calculator does.
  • Keep a copy. Under the FLSA employers must keep payroll records, but your own notes help if there's ever a dispute.

Frequently asked questions

How is overtime calculated on a time card?

Add up all the hours worked in the workweek. Anything over 40 hours is overtime and is paid at 1.5 times the regular rate, so at $20 an hour each overtime hour pays $30. Hours under 40 are paid at the normal rate even if one day was very long, unless a state or contract rule says otherwise.

Do paid holidays or sick days count toward overtime?

Under the federal rule, overtime is based on hours actually worked, so paid time off usually doesn't count toward the 40 hours. Some employers and union contracts count it anyway. Leave those days blank here if your employer follows the federal rule.

How do I enter a shift that goes past midnight?

Enter the in time and out time as they appear on the clock, for example 10:00 PM in and 6:00 AM out. The calculator sees that the out time is earlier and adds 24 hours, so the shift counts as 8 hours on the day it started.

Is the pay shown before or after tax?

Before tax. It's your gross pay for the hours entered. Federal and state income tax, Social Security and Medicare, and any other deductions come out of this amount.
